Phase 1 - Inquiry Intake & Estimate Prep SOP

1. Check New Inquiries

  • Log into Google Drive.

  • Navigate to (Client Task Forms).

  • In this sheet; the white highlighted rows indicate new inquiries that you will need to process.

  • Click the three-line filter icon next to (Event Date) and sort

    A → Z.

    • Check for duplicate wedding/event dates.

    • If multiple inquiries exist for the same date, highlight those event dates in red to flag them.

    • All dates that are available on Angelique’s schedule should be assigned to Angelique.

    • If there are multiple inquiries for the same date, prioritize assigning Angelique to the most profitable booking.

2. Create Estimate in QuickBooks

  • Open a new window and log into QuickBooks.

  • Click Create (+) → Estimate.

  • Select Add Customer → (+) Add New.

3. Enter Client Contact Information

  • From Google Sheets, collect the first following clients information:

    • First Name

    • Last Name

    • Mobile Number

    • Email Address

  • Enter this information into the New Customer Contact Form in QuickBooks.

  • Click Save.

4. Enter Event Date

  • Add the wedding/event date in the Expiration Date field.

5. Check Artist Availability

In Google Calendar

  • First confirm if Angelique is available for the event date.

  • If Angelique is not available, enter LEAD in the Artist Name section.

6. Determine Number of Artists Needed

  • Calculate the event start time based on the number of services.

  • Each service is scheduled for 1 hour.

  • Use this to determine if an additional assisting artist is required.

7. Add Services to the Estimate

Include the following services as applicable:

  • Bridal hair and/or makeup

  • Bridal trial services (if requested)

  • Day-of bridal party services

  • Any applicable travel fees

8. Calculate Travel Fees

  • If Angelique is booked, calculate and add Angelique’s travel fee.

  • If Angelique is not booked, assign a Lead Artist and calculate the artist travel fee.

  • Add an Assisting Artist if required.

9. Add Additional Fees (if applicable)

Refer to the Terms & Conditions document to ensure all applicable fees are included.

Examples may include:

  • Early start / Early Bird fee

  • Tolls

  • Extended travel fees

10. Check for Bridal Package Eligibility

Refer to pricing page Bridal Menu for eligibility.

  • Confirm if the client qualifies for or requested a service package.

  • If so, create a separate estimate for the package.

11. Verify Travel Fees Within Packages

  • Confirm whether the artist travel fee is already included in the package.

  • Ensure the client is not charged duplicate travel fees.

12. Draft Estimate Email

  • Open a new window and log into Gmail.

  • Compose the email using the appropriate template.

  • Customize the template with the client’s information and event details.

  • Attach the estimate from QuickBooks.

  • All inquiry emails must be organized under the ASSISTANT WORKFLOW labels in Gmail. Apply the appropriate label.

    • “Draft Ready” = The estimate and email draft are prepared and ready for review.

    • “Sent” = The inquiry response has been sent to the client. (Phase 3 only)

    • “Needs Owner Review” = Leave the email in this label if you are unsure how to proceed. Do not delete inquiry emails. Notify Angelique for review.

13. Update Inquiry Status

  • Return to Google Sheets → Client Task Forms.

  • Change the inquiry status color to Phase 2 (Salmon Color) to indicate completion.

  • Add note to the last follow up “Completed” for Angelique to revise.

Final Review Checklist

This checklist should be used every time before saving an estimate and email draft to ensure accuracy.

Client Information

☐ Client first and last name entered correctly

☐ Email and mobile number entered correctly

☐ Wedding/event date confirmed

Availability

☐ Angelique’s availability checked

☐ If unavailable, Lead Artist assigned

☐ Assisting artist added if needed

Services

☐ All requested services added

☐ Bridal trial added if requested

☐ Correct quantity of services entered

☐ Double check if any fee’s applies: Terms & Conditions

Timing

☐ Start time calculated correctly

☐ Artist count aligns with start time (each service = approx. 1 hour; verify in estimate if needed)

☐ Early bird fee applied every hour to each artist before 7am

Travel

☐ Travel fee calculated correctly

☐ Correct artist travel fee applied

☐ Tolls or extended travel added if applicable

Packages

☐ Client eligibility for package checked

☐ A package estimate is also created if applicable

☐ Travel fees not duplicated if included in package

Estimate Accuracy

☐ Total estimate reviewed for accuracy

Email

☐ Correct email template used

☐ Client name added to email

☐ Estimate/s attached before sending

☐ Entire email is proofread before sending

Task Tracking

☐ Number of artists required entered in the Task Form

☐ Inquiry moved to Phase 2 (Salmon Color) in Google Sheets (Client Task Forms)

☐ Add note to last follow up section “Completed”

Important: Do not delete any saved estimates, emails, or client records. If an error occurs, label it instead. And notify the owner.
