Phase 1 - Inquiry Intake & Estimate Prep SOP

  • Login into Excel; go into (task forms) white highlighte area are new inquires that need to be completed.

  • New window, log into quickbooks; create a new estimate. Click (add customer) and click (add new)

  • From excel collect clients (First, Last name, Mobile number and email.) add these into new customer contact information form in quickbooks and press (save.)

  • Add wedding/event date to (expiration date)

  • Check if angelique is available for that date, if not add LEAD to the artist name section

  • to check amount of artist needed you will have to figure out the start time. (each service is booked for an hour)

  • Add clients services, trial services (if requested) day of services and all travel fees

  • Calculate Angeliques travel fees (if she is booked) If not you will book a lead artist to cover her, and if needed an assisting artist to assist.

  • add any additional fees such as early bird fees or tolls. Terms & Conditions has additional fees to be familiar

  • Check if client also applies for a package, if so create a new estimate for package

  • Double check if artist travel fee is included in that package so your not over charging a travel fee

  • open a new window on gmail

  • compose message from templates and edit template to customize to the clients

  • When all is complete, in task forms change color code to Phase 2 (salmon color)
